About the Position

We are seeking a dependable, organized, and customer-focused Call Taker / Dispatch Trainee to join our ambulance service team.

This is a mid-shift position working Monday through Friday from 2:00 PM to 10:00 PM. The primary responsibility will be receiving and coordinating ambulance transportation requests, communicating with hospitals, facilities, patients, and ambulance crews, and ensuring accurate information is entered into our dispatch system.

The selected candidate will also be cross-trained in ambulance dispatch operations and will assist with basic ambulance billing and administrative responsibilities. This position is an excellent opportunity for someone who wants to learn multiple aspects of ambulance service operations and grow within the company.

Key Responsibilities

Call Taking

  • Answer incoming phone calls and ambulance transportation requests professionally and efficiently.
  • Obtain accurate patient, facility, pickup, destination, and transportation information.
  • Enter and maintain accurate information in the company’s computer/dispatch system.
  • Coordinate transportation requests with hospitals, nursing facilities, dialysis centers, and other healthcare facilities.
  • Communicate professionally with patients, family members, healthcare providers, and ambulance crews.
  • Prioritize calls and requests based on urgency and operational needs.
  • Monitor scheduled and pending transports to ensure information is accurate and up to date.

Dispatch Cross-Training

  • Become trained and qualified to perform ambulance dispatch responsibilities.
  • Dispatch ambulance crews to scheduled and unscheduled transports.
  • Monitor ambulance locations and crew availability.
  • Communicate with crews regarding changes to assignments, destinations, pickup information, and special instructions.
  • Assist with managing delays, hospital turnaround times, and operational issues.
  • Follow company dispatch procedures and emergency action plans.
  • Maintain clear and accurate documentation of dispatch activity.

Billing / Administrative Responsibilities

  • Assist the billing department with obtaining and verifying patient demographic and insurance information.
  • Review trip documentation for completeness and accuracy.
  • Assist with correcting missing or incomplete information.
  • Enter or update information in billing and/or patient care systems.
  • Assist with obtaining necessary signatures, documentation, and other information required for billing.
  • Perform other administrative duties as assigned.

Preferred Qualifications

Previous experience in any of the following is a plus:

  • EMS / ambulance operations
  • Ambulance dispatch
  • 911 or emergency communications
  • Medical office or hospital setting
  • Healthcare scheduling
  • Medical billing
  • Customer service
  • Transportation dispatch
  • Call center operations

Previous EMS or dispatch experience is preferred but not required. We are willing to train the right candidate.

Monday – Friday
2:00 PM – 10:00 PM

This position is designed to provide consistent weekday hours while supporting our busy afternoon/evening ambulance operations.
